Event travel: itinerary, budget and checks
Build your trip around confirmed admission and a workable journey. Compare two events while keeping festival dates, your session times and hotel nights distinct.
Choose the session before booking travel
Search the catalogue by event and city and narrow dates to your travel window. Open the official source and record the session, venue and admission included. A date range describes the event; it does not promise entry every day. For a convention, check whether a badge and a panel reservation are separate requirements.
Compare workable programmes
Use the comparison tool for dates, cities, venues and active days. Overlapping dates show a choice to make; they do not establish that travel between events is feasible. Record each session’s local time, admission margin, transfer and last transport home separately. Keep any missing element marked as unconfirmed.
Calculate the whole trip cost
For each option, add admission and fees, return travel, local transfers, accommodation, meals and optional spending. Multiply personal expenses per traveller and hotel nights per room: those units differ for groups. Separate committed spending from bookings you can still cancel. Cheaper admission may lead to a more expensive trip if another hotel night is needed.
Check the return journey before choosing a hotel
Compare the location with the actual session venue and the route at finishing time. For a citywide festival, plan each transfer rather than a single journey to an assumed centre. Confirm any included transport entitlement for your particular pass. Keep an alternative if the session finishes after the advertised transport hours.
Export reminders and check again
The event directory’s .ics export includes all filtered results up to 100 events, regardless of the displayed page. Narrow dates to reduce the selection. Events use all-day dates and separate periods produce separate reminders. The file is a snapshot: it contains no booking or session time and receives no later changes.
Prepare a fallback
Before leaving, recheck the calendar and terms at the source, each traveller’s tickets, venue access and the services actually booked. Keep confirmations available offline. Choose a replacement activity and identify costs you could still change. Never treat a missing value as free admission, unrestricted access or availability.
